OMNITRADE, a.s. Case study
Because of development in information technologies MAGIC information system gradually became outdated and OMNITRADE, a.s. Company decided to replace it by more up-to-date technologies.
When the company decided for a change of the then state of the information system they set several goals:
- Better transparency of individual company processes;
- Data inconsistency elimination;
- Data base simplification;
- Provision of communication with other operations;
- Provision of immediate and right information.
Solution and contractor selection. There were negotiations carried out prior to the new information system contractor’s selection. Once these were completed OMNITRADE, a.s. Company decided to go for Microsoft Navision. Firstly finances were implemented in Navision Fiannacial 2.60 product. Secondly the upgrade to Microsoft Business Solutions – Navision 3.70 system was implemented together with functions of inventory modules, CRM and hotel booking system.
Implementation. Implementation of the upgrade to 3.70 version started in June 2004 via analysis of company procedures. The result of the common effort of contractor’s and user’s employees was a successful application of Navision system modules: CRM, sales, purchasing, inventory control, assets and booking system. The routine operation of the system was commissioned on August 6, 2004.
Implementation of purchasing. In terms of purchasing processes of OMNITRADE, a.s. Company a big accent was put on ordering cycle of goods of individual suppliers optimization as well as on better transparency of the process of goods delivery to the warehouse (orders preparation). Power and simplicity of the standard functionality of Microsoft Business Solutions – Navision purchasing logistics was fully applied here.
Inventory system. Integration of warehouse processes in Microsoft Business Solutions - Navision provided OMNITRADE, a.s. Company with more transparent warehouse processes and inventory state. Distribution tools of Navision helped to optimize delivery of goods and materials to production and sales centres.
Sales. Over-the-counter sales at the reception, cash desk in the restaurant, bar or a swimming pool or other facilities are solved by their connection to the fiscal module. This enables to apply standard hotel processes, such as transfer of expenses of a hotel customer for individual services to this person’s hotel account, monitoring actual state of kitchen stock etc.
Omnitrade, a.s.Hotel booking system. The hotel booking system was the key area of MBS Navision implementation in OMNITRADE, a.s. Company. This subsystem is a product of ICOS, a.s. Company and cover individual areas of a hotel running – from an exchange office, via room booking and complex services for the customer up to hotel bill or invoice issuing. The system is interconnected with other systems used in the hotel environment such as switchboard with a tariff monitoring devices, card key system. Services and goods sales are solved via a software fiscal module. There is an immediate overview of individual hotel room booking available. The high level of integration with CRM modules enables on-time receiving of required marketing information, prior to seasonal stays opening.
Benefits. The benefit of the new integrated systems is that it integrated database and eliminated duplicity of data entering. IS reliability increased and its administration was simplified. Managing employees have an immediate access to the information they inevitably need for successful decision-making process. Thanks to that the company is successful in continuous improvement of level of their services provided to customers and more economic usage of human resources. Using information system options leads to the gradual operating cost reduction.
Technology. The solution is based on Microsoft Business Solutions – Navision 3.70 technology. The following was used for the solution given: Microsoft Business Solutions – Navision Database Engine database, Windows 2003 Server operating system, Payroll and Human Resources Management System HUMAN of HOUR Company integrated with Microsoft Business Solutions Navision.
OMNITRADE, a.s. was established in 1997 as a company for providing complex services in the field of tourism, Malá Fatra National Park land and forest administration and operating cableways and ski lifts in Vrátna dolina. Apart from the above mentioned services the company also deals with processing and selling wood to wholesale customers and retailers, administrating forest stands, forestation of the protected area and sheep farming.
